Management of and ensures all department records and files reflects Indian Health Service Records Management standards. Makes travel arrangements for department staff. Maintains employee competency folder per policy and maintains all completed staff training documentation. Schedules and communicates meeting arrangements for the department and takes meeting minutes. Serves as a timekeeper for the department. Operates office equipment such as copier, fax, computer printer, scanner, phone, projector, laptop computer; and provides staff training and support in utilizing the equipment. Orders office supplies, nursing supplies and departmental equipment following protocols, including acquisition/purchase protocols, and utilizing the designated government procurement system. Maintains the department equipment inventory and follows protocols for reporting and documenting inventory changes. Receives, reviews, and distributes incoming correspondence. Receives telephone calls and visitors, screen inquiries, takes messages, takes care of routine office matters, and refers callers/visitors to appropriate personnel. Utilizes the designated word processing software to prepare a variety of materials such as correspondence, meeting minutes, reports, and technical documents for the department. Timely retrieval, review, log in patient consults and referrals both electronically and hardcopy. Timely distribution of consults and referrals to designated staff. Utilizes State immunization registries to collect relevant immunization records. Follow HIPAA and facility protocols to request health records, including immunization records from other Service Units and healthcare facilities. Assists staff in scheduling and communicating patient appointments utilizing the specified agency scheduling package. GS-05:
One (1) year of specialized experience equivalent to at least the GS-04 grade level; OR, Education four (4) years above high school. In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below. MINIMUM
Qualifications:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
performing a variety of clerical support duties. This experience would include such things as planning and carrying out the work of the office; knowledge to carry out and coordinate, in a timely and effective manner, procedures or operations applied to clerical assignments; working independently; locating and summarizing information form files and documents; and the use of automated systems equipment. TYPING PROFICIENCY REQUIREMENTS:
Applicants must present evidence of passing the typing proficiency by self-certification. (40 WPM typing speed, WPM are based on a five minute sample with three or fewer errors). Typing proficiency certification must be documented on the applicant's resume or attach typing proficiency certificate to employment application to receive credit. Online typing self-certification accepted. You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal employees in the competitive service are also subject to the Time-In-Grade Requirements:
Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
